Studio Policies.

  • All bookings at Wildfield Studio are made directly through our online scheduling system found on this website. This ensures we have a credit card on file for each session booked, in case of incidentals or add-on requests.

    • The exterior studio entrance sign says “Forever Wildfield” (our floral business), but you have found the right home of Wildfield Studio!

    • Your booking may coincide with times where we are designing florals in the back half of the unit. We do our best to keep our noise low during your session, but please know you may hear some sounds during your session if we are scheduled during the same time.

    • Your booking time includes your set up and tear down. If you require additional time for that, please factor it into your booking. If you need extra time and the room is available, you can rent additional time in 60-minute increments, otherwise you are expected to exit the studio by the end of your session time. If you are over your session time, you will be charged $15 + HST for every 10 minute increment

    • We recommend arriving at our studio no more than 5 minutes before the start of your booking in case there is another booking wrapping up just before yours starts.

    • To keep our studio floors and furniture clean, we ask that you remove your outside shoes when you enter the studio. Clients should be given notice to bring indoor shoes.

    • There is a broom, dust pan, paper towel, and cleaner in the bathroom. Please use these items, when needed, to clean up after yourself and clients. Please do NOT use the wet vacuum.

    • Ensure that the room is left in its original condition. Furniture and props need to be moved back to their original place and all garbage must be placed into garbage cans. All garbage must be contained within the can provided. A disposal fee of $25 will be charged for any garbage left behind that was not placed in the bin.

    • There are cameras installed throughout the studio, however, we do not have any cameras by the washroom area, so this can be used for changing outfits and privacy.

    • The studio is not soundproof. The ceiling is an open-air design across the whole unit, including our floral studio at the back half. Audio recordings may be impacted. Please keep the noise level to a reasonable volume, including any use of music. Music played in the studio must not contain any explicit content.

    • Smoking (including recreational drugs and vaping) is not permitted on studio premises.

    • Alcohol is not permitted on studio premises.

    • If a member of your party comes to the studio intoxicated, we reserve the right to ask them to leave the premises.

    • Customers are responsible for loading and unloading of their belongings into the studio. The studio is not responsible for any one’s personal belongings.

    • All candle flames must be contained at all times in a glass holder. We do not permit the burning of sage, incense or scented / smoky other materials in the studio. A fire extinguisher is located beside the microwave at the back of the studio rental.

    • Glitter, confetti, or other small particle, messy materials are not permitted in the studio. A cleaning fee of $50 will apply if this policy is ignored.

    • Cake smash sessions are permitted, so long as they are completely cleaned up as if they did not occur. A $50 cleaning fee will be charged if any residue or mess is left behind.

    • There is no nailing, gluing, stapling, etc., on the walls or ceiling. If your project needs the use of 3M hooks, please discuss this for approval prior to your booking. Damage to walls or ceilings will be subject to a fee for repair in the amount that is at the discretion of the studio.

    • The credit card used for booking remains on file for any incidentals that occur during your session.

    • Please note that failure to respect the studio rules, studio staff, or other bookers, will result in immediate termination of your booking and can result in a permanent ban from Wildfield Studio.

  • Before arrival to your session, one adult needs to complete our General Liability and Release Waiver. It’s included here for ease of completion.

  • All shoots have to be paid in full at the time of booking. We do not offer refunds.

    Cancellations more than 48 hours from the start time of your booking will have the option to re-book the session one time at no extra charge.

    Cancellations on re-bookings are final.

    If we receive under 48 hours notice of a cancellation, no refunds or re-booking option will be issued.

  • When completing your initial booking, create an account with our scheduler after payment is made.

    With your registered account you can always come back to our website, click “Book Now”, and then log in under “Returning?” to manage your booking with us.

    This is where you can reschedule your session, if needed, at your convenience. Rescheduling a session is permitted up to 48 hours prior to the original booking date and time.

    You may re-book the session one time at no extra charge. An additional re-booking after one has taken place, is not permitted.

    • Our staff may visit the studio room 10 minutes prior to the end of your booking time to ensure that the room is left in its original condition. Furniture and props need to be moved back to their original place, and all garbage must be placed into garbage cans, no overflow. A disposal fee of $25 will be charged for any garbage left behind.

    • If our attendant finds a messy room during the room check, you will be asked to stop taking pictures and clean up the room. If the room is still left untidy at the end of the booking, there will be a $25 cleaning fee added to your booking.

    • Please do not step on the furniture in shoes. Please do not stand or lie on the marble tables.

    • If you need to move furniture, please lift the items and do not drag them. This damages both the floors and furniture legs. If you need assistance, please contact our studio staff and do not move items without approval.

    • Please do not bring candles into the studio, unless they have glass coverings. Open-flame candles drip wax onto floors and other surfaces, causing damage.

    • No open flame, dry ice, sparklers or smoke machines are allowed in the studio.

    • Any pets must be cleaned up after immediately. Should a pet make a mess on the floor, there will be $50 cleaning fee

    • If there are damages to the floor, furniture, styling collection, seamless paper rolls, or any other studio equipment or objects during your booking, you will be asked to reimburse the cost of the damages. This cost may range from $10 - $500+, and is at the discretion of the studio. The credit card on file will be charged for the damaged item, with email notification provided to the name on file for the session booking.

  • Wildfield Studio has a capacity of 12 guests, including vendors.

    When booking your client’s mini sessions, please allow for time in between client sessions for them to leave and arrive so the studio does not become over capacitated.

  • Photography sessions with pets are welcome, at the discretion of Wildfield Studio.

    There is a $25 pet fee (per pet) associated with this accommodation.

    Pets are not allowed on furniture.

    Pets must be cleaned up after immediately. Should a pet make a mess on the floor, there will be $50 cleaning fee.

    Considerations for the number of pets per session and any fur / dander that may effect sessions before or after you will be made (allergies, mess clean up, etc).

    When possible, please schedule pet sessions in the afternoon versus the morning.

  • Due to multiple violations of our policy, boudoir photography is no longer permitted in the studio.

    The studio cannot be used to shoot pornographic or explicit content. In addition, the creation of violent, offensive, or bigoted content in the studio is strictly prohibited.

    While the majority of individuals adhere to our policies and show respect towards our studio, its contents, and the other professionals using the space, regrettably, there have been instances where the studio has been utilized in manners that contradict our values and principles.

  • There is a large parking lot, with ample spaces. Parking is free. As a courtesy to our business neighbours, please do NOT park directly in front of the other business entrances.

  • The studio is at ground level, with a ramped curb for accessibility into the studio space.

  • The studio has free WIFI for all guests. The password can be found on the welcome sign in the common area.

  • There is a washroom located in the middle of the studio unit. This washroom is shared between the studio rental and our floral production space. There may be times where you or client(s) will see one of our floral design team in the event they need to use the washroom while your session is taking place.

  • Requests for add-on items, like folding tables, chairs, or paper backdrop, can be made after you complete your session booking. Please reach out via email at info@foreverwildfield.com prior to your session date to make an add-on. Add-ons will not be provided with less than 24 hour notice.

    An additional hour of time can be added to your session at the time of your reservation. If you missed this or still need to add more time to your session, please email info@foreverwildfield to see if it can be accommodated.

    If during your session, you realize you need more time, please call or text the contact phone number provided to you in the arrival instructions document emailed to you just prior to your session date. We will try our best to accommodate your request, but it may not be possible if there is another booking after yours. Any additional time that is incurred beyond the originally scheduled session will be invoiced for immediate payment.

FAQs.

How do I check in once I arrive at the studio?

You will enter the studio through the front door that faces the parking lot. Instructions for accessing the studio will be emailed to you 24 - 48 hours prior to your scheduled session. There may be an attendee on site if we have any floral production occurring in the other half of the unit, but this will not be the case all of the time.

Can I move furniture around during my session?

Yes, you are permitted to move furniture and decor around the studio space during your session. Please do not drag furniture across the floor. Lift furniture only and please use discretion when moving heavier items, like the sofa and marble tables. Furniture and decor must be put back in their original spot prior to departing so that the studio is in original condition for the next scheduled session. Any damage incurred to our furniture / floors / walls / decor during your session will be subject to a damage fee, ranging from $50 - $500, at the discretion of the studio.

I’m an influencer / content creator. Can I use your studio for free in exchange for sharing content?

We have an Influencer Collaboration Program that might be the right fit for you! Our studio makes for a great fit for an upcoming project that you need to create content for. Please see the link HERE to our Influencer Collaboration Program application form.

Do you host social events?

At this time, our studio is not set up to host small or intimate social events like birthday parties, showers, etc. We do have the capacity and resources to host intimate creative workshops in the space, like a floral, painting, or other creative medium workshop, so if you are interested in possibly hosting a workshop in the space, please reach out directly to discuss and we can get planning!
